The teaching periods need to be setup for each new year and for every home site. As home sites may have different lesson and break times each site must be setup seperatly, lessons are then mapped onto the Consortium teaching day.

Please complete the Academic Day Information spreadsheet and email it to your account manager to import into your Consortium database.

Firstly, setup your Consortium teaching day.

The Consortium teaching day is a list of periods/sessions without times which are used to simplify the timetable for staff and students, an example of this could be:

 

Registration
P1 
Break
P2
Lunch
Registration
P3

 When setting up a new year where an existing year is already present, the teaching day can be viewed by browsing to Administration/Timetable Report within Consortium, and scrolling to the Central/Global Periods section.

Note: The Consortium teaching day can be used across years and doesn't need to be redefined for each new teaching year.

To complete the Academic Day Information spreadsheet, complete the columns as described below, if you already have teaching periods setup within the current academic year and want to copy the times, browser to Administration/Timetable Report in Consortium and scroll to the Period Information Section. The information for each teaching site can be copied and pasted straight into the Academic Day Information sheet with only the year column needing to be updated. 

Column A

This column tells the system which site the teaching period belongs to, it does this using the site URN as a unique reference  (the URN can be found by visiting the DfE website here and searching for the school or via Administration\Timetable Report on the Consortium site).

Column B

This is teaching year short name which can be found by browsing to Administration\Timetable Report in Consortium and scrolling to the Academic Years section. If the new teaching year does not show in the list please contact your account manager to have it added.

Column C

This is the name of the site, the column is used as a check prior to import, the text entered should ideally be the same as the "Site Short Name" found by browsing to Administration\Timetable Report in Consortium and scrolling to the Site Information section.

Column D

Period Name - this is how the period is how the individual site refers to the teaching period.

Column E

Start Time - 24 hour clock in the formation HH:MM

Column F

End Time - 24 hour clock in the formation HH:MM

Column G

Period Code - This is the short code used by the individual site to refer to the teaching period

Column H

AM/PM - if the period takes place during the AM section of the day enter A, if the period takes place in the PM section of the day enter P.

Column I

AM Register, this sets which period feeds into the AM register, more than one period can be selected, however the most recent mark will always over write previous marks, for this reason it is advised that only one period is used to feed into the AM register. Enter 1 in the cell(s) that feed the AM register and 0 in all other cells

Column J

PM Register, this sets which period feeds into the APM register, more than one period can be selected, however the most recent mark will always over write previous marks, for this reason it is advised that only one period is used to feed into the APM register. Enter 1 in the cell(s) that feed the PM register and 0 in all other cells

Column K

Display Order - this is used to sort the periods for display, the column should contain sequential numbers, for example 1,2,3.....

Column L

Teaching Period - if the period is a teaching period enter 1 in the cell, otherwise enter 0.

Column M

Consortium Teaching Period / Mapping - Use the names set out in your Consortium teaching day to map the site period to a Consortium period.
